Solicit Club Sponsorships (send thank-you letters) throughout the year
Revise deaf camp brochure
Mid-Winter Meeting (Camp Committee meeting)
- Decide who will be Transportation Coordinator
- Decide who will be Volunteer Cooridinator
- Decide who will provide a hospitality table for parents
- Decide adventure camp provider and sites for adventure camp (campground, pilot, etc.)
- Secure the dates for the next year’s deaf camp, work and fun weekends.
After Mid-Winter Meeting
Distribute brochure via email and website
Website Manager publishes camp forms for campers (health form, photo release, etc.)
Registration Coordinator starts receiving applications and sends questionaire

March
Registration Coordinator receives campers deposits and registration forms.
Deaf Camp Director recruits deaf and signing staff to work at Deaf Camp

April
Work Weekend @ 4-H Camp Sertoma (Camp Committee meeting)
Excellent time to interview deaf camp staff in necessary

May
Deaf Camp Coordinator works with Registration Coordinator to send order in to T-shirt vendor for all campers, staff and volunteers. (http://www.bodybillboards.com/)
Deaf Camp Director emails 4-H Center Director a copy of the weekly schedule for deaf camp
Deaf Camp Director sends in background checks for all Deaf Camp Couselors/Signing Staff
Transportation Schedule finalized by Transportation Coordinator

June
Inspect Camp (In each cabin: do the toilets flush, water heaters work, stocked with supplies, clean?)
Designated person will pick Up T-shirts for Deaf Camp from Body Billboards
28th End of Term expires for elected members (members are on 3 year rotation)
Treasurer pays deaf camp staff
Copy staff training materials for camp
The 4th week of June is Deaf Camp!
Take photo on Thursday and make 130 copies!
Post group photo to website and Facebook Page

July
Send out a camp club newsletter and update facebook page and blog – Deaf Camp a Success!

August/September
Fun Weekend @ 4-H Camp Sertoma

October
Regional Sertoma Meeting Location and Date TBD (Camp Committee meeting)
Elections take place for new committee members rotating off. (3 year cycle)
